Haltwhistle Walking Festivals are organised by a small group of enthusiastic volunteers who wish to share their love of the local area with others. All of our walks are guided by trained leaders. Haltwhistle Walking Festival Ltd., in accordance with the Data Protection Act and the General Data Protection Regulation (GDPR), treats the privacy of its clients and website users very seriously. We therefore adopt all reasonable measures to protect the data we receive, and we keep the systems we use to store, transfer and process that information under review.
In organising the walking festivals, we work closely with a third party (Bradsons) in order to complete the booking process. This means that data provided to us is sometimes transferred to Bradsons, while they provide data to us. We have liaised with Bradsons to ensure that their procedures comply with our own, and this policy statement reflects the approach we both take in relation to the data provided to us.
Haltwhistle Walking Festival Ltd., ensures that it obtains only the data it requires to arrange and promote walks. The amount of personal data we obtain and hold in relation to each client is therefore minimal and is used only for the purposes of organising and running the festivals safely and effectively (which also includes the promotion of any further festivals). The data we receive does not usually include anything of a sensitive nature, and where it does, we will not usually store that information.
Haltwhistle Walking Festival Ltd., acknowledges that it acts both as a data controller and a data processor of personal data provided by you. It acknowledges that if you have provided us with data, you have the right to request a copy of it, to request that incorrect details are corrected, and/or to request that it be destroyed.

What is personal data provided by you?
This is the personal data provided by you when you make a walking festival booking via the appropriate on-line booking service or data you provide when you ask to go on our mailing list. It will include your name and address, and other contact details such as a telephone number and e-mail address. It would not normally include any reference to age or disability, or anything else of a sensitive nature, except where that is relevant to the arrangement of a particular walk.
What is data provided by others?
This refers to the process whereby data is transferred between Haltwhistle Walking Festival Ltd., and its third party agent, Bradsons.
How do we use your data?
In conjunction with Bradsons, who administer the bookings and payments for our walks, we use your data to manage the day to day running of festival walks/events. In addition we use your contact data to promote future festivals. This means that we use the information you supply only to keep you informed of arrangements for the walks you have booked, and to keep you informed of arrangements for future festivals.
When the information we receive includes anything of a sensitive nature, such as age or disability, the data will not be stored beyond the time needed to arrange the particular walk. Where data is supplied by, or on behalf of, any minor, we will always ensure that the appropriate consent (of a parent or carer) is sought before the data is used.
How do you share my data?
We do not share information with other third parties other than Bradsons. The sharing of this information is solely for the running of the festival programmes.
How long is your data stored?
We will store your data for a period of five years to allow for the effective running for future walking festivals.
What is your process for obtaining personal data?
We always ask for relevant information from you by asking, and by you stating, the following:

- Email address
- Contact address (optional)
In providing this information you agree to Haltwhistle Walking Festival Ltd., recording these details electronically and contacting you (either electronically or by post). We will only use this information for the purposes of running the festival programme. Reasonable steps will be taken to store your data safely and securely. It will be held for a period of 5 years from the date of your most recent contact in order to promote details of any future festivals.
Use of photographs
From May 2018, we will store and process data obtained only in accordance with these terms.
